Supply requests can be difficult to reconcile when they arrive through messages or paper notes. Pocket Yard records an internal request against a stock item, then tracks the approval, issue and movements that affect its balance.
Three balances with different meanings
On hand is the recorded physical stock balance. Reserved is stock committed to pending or approved requests. Available is on hand minus reservations. Keeping these separate helps a yard avoid promising the same supplies twice.
From request to issue
- An owner or manager adds an item, its opening quantity, unit and reorder threshold.
- A staff member chooses a quantity and horse or yard use, then taps Order supplies.
- The request reserves available supplies without reducing on-hand stock.
- A manager approves the request and records the issue.
- Issuing reduces stock on hand and releases the reservation.
A cancelled unissued request releases its reservation. A delivery adds stock. A recorded return refers to an original issue so corrections have a traceable history.
Use consistent units
If hay is counted in bales, record requests, deliveries and issues in bales. Do not switch a movement into kilograms without a deliberate conversion. Fractional quantities are supported, but they are only useful when the yard agrees what the unit means.
Reorder alerts and recorded usage
The dashboard highlights items at or below their available-stock threshold. When daily use is recorded, the stock workspace shows estimated days available at that entered rate. It does not predict changing horse requirements or measure actual consumption automatically.
Export movement history to review dates, items, quantities and reasons. Compare the app’s balance with a physical count to investigate discrepancies; an incomplete movement log will give an incomplete stock picture.
Does Order supplies buy from a supplier?
No. It records an internal yard request. It does not charge a card, email a merchant or automatically purchase replacement stock. Your manager still decides when and where to buy supplies.
Where the value comes from
Clear reservations and movement records can help reduce chasing and make discrepancies easier to discuss. Money saved depends on how the yard uses the system and should be measured against its own baseline rather than assumed.
